Stellent Launches Universal Records Management
Stellent, Inc. (Nasdaq:STEL), a global provider of contentmanagement solutions, announced today the launch of Stellent(R)Universal Records Management(TM), a new application built on adistributed architecture that enables companies to apply records andretention policies in a consistent, legally defensible way across theenterprise.
Stellent Universal Records Management allows organizations todefine, manage and execute records and retention management policiesfor all enterprise content from a single application. The system is acomplete, Department of Defense (DoD) 5015.2- and 4-compliant recordsmanagement application that performs both electronic and physicalrecords management. In addition to managing the records customerschoose to store in its built-in repository, Stellent Universal RecordsManagement uses an agent architecture to enforce records managementand retention policies and schedules in applications and repositoriesthroughout an organization. This "in-place" functionality enablescompanies to leave content in its native location rather than movingit to a central repository for records and retention management; applyrules directly to content where it resides; and manage the dispositionof all content, not merely the content explicitly declared as records.Agents also send information back to the Stellent server, enabling itto maintain an up-to-date catalog of all critical enterprise content.This server also facilitates legal discovery activities and applieslitigation holds to relevant content.

According to Gartner, Inc.,(1) "When considering recordsmanagement vendors, look beyond basic records managementfunctionality. Integration with ECM, e-mail archiving, compliance anddiscovery solutions is essential. Also consider the ability tofederate records management across multiple content repositories, aswell as whether you need to adopt a 'manage in place' or 'centralized'approach to records management."
"Content is increasingly located in numerous disparate informationtechnology (IT) systems across an organization," said Sue Feldman,research vice president for IDC. "Companies must find a way to alignall of these applications and repositories in order to optimizerecords and retention management and e-discovery processes. In-placemanagement of files is a viable option that has minimal impact onapplications and end users. Content simply stays in its nativeenvironment unless a policy requires it to be moved to a specificrecords management repository."
Enabling Third-Party Applications with Records and RetentionManagement
Through its agent architecture, Stellent Universal RecordsManagement can apply records and retention schedules and litigationholds to content located in nearly any repository or application. Itsagent application programming interfaces (APIs) are open andpublished. Stellent's own repositories -- including Stellent ContentServer and Stellent Imaging and Business Process Management -- will bethe first to present themselves to the Universal Records Managementserver using agents.
The company also is partnering with leading solution providers todevelop agents that apply records and retention management policiesand litigation holds to content residing within their applications.The individual applications will continue to perform their functionsbut will do so in ways consistent with enterprise policies. The firstsuch agents Stellent will release are for Symantec Enterprise Vaultand Microsoft SharePoint Server, as well as Windows, Unix and Linuxfile servers. These agents will cover the majority of relevant contentin most organizations. In addition, customers and partners canleverage the open, modular nature of the system to build agents fortheir own commercial or custom applications.
"Integrating Enterprise Vault with Stellent Universal RecordsManagement means emails and other content sent to the Enterprise Vaultarchive are automatically classified as records and managed inaccordance with corporate policy without having to remove them fromthe archive," said Nick Mehta, senior director, product management,Symantec Corp. "This allows organizations to leverage the scalablestorage of the archive in a consistent fashion while controlling thebusiness records stored there or in other systems."

Centralizing and Streamlining both Records Management andRetention Management
Stellent Universal Records Management gives organizations theability to centrally create records and retention policies and applythem to all content throughout an enterprise. Records managers candetermine whether records should remain in place or be transferred tothe Universal Records Management repository. The Stellent systemautomates many of the tasks records managers used to perform manuallywhile providing more consistency and control over records managementprocesses.
Furthermore, the Stellent solution not only centralizes retentionmanagement policies, it also provides management capabilities wellbeyond those typically available in individual applications andstorage systems. Rather than basing retention rules on simply filesize or aging, business rules based on multiple criteria driveretention schedules. These criteria can include combinations ofdocument state, usage statistics, security, publishing rules and anyother metadata known about the content.

For legal and compliance personnel, Stellent Universal RecordsManagement provides a searchable catalog of all important contentwithin an organization plus the means to place a hold on relevantcontent and, if necessary, move or copy it into the centralrepository. In a proactive manner, the Stellent solution optimizes theenvironment by cataloging the content and reducing the amount to bemanaged and searched. Additionally, all actions are logged andavailable for audits and reports.
